Who is responsible?
T4P, trading as Vitaevia, is responsible for processing personal data within Vitaevia. For privacy questions, please use the contact page.
Which data do we process?
This may include account details such as your name and email address, information you enter into a CV or workspace, technical log data and information needed for security and support. We do not ask for more data than is needed for the relevant feature.
Why do we use data?
We use data to create accounts, operate the editor and cloud connections, store and display CVs, provide support, prevent abuse, and secure and improve the service.
Where is data stored?
For personal use, your CV content remains in the Google Drive or OneDrive storage you choose. Vitaevia does not store complete CV documents on its own server, but may process limited account, configuration and security data. Future business subscriptions may use AWS, Azure or another customer-managed environment. The agreement and any data processing terms will define the exact location, roles and responsibilities.
Sharing with other parties
We share data only when needed to provide the service, when you instruct us to do so, when a supplier acts as a processor, or when required by law. With customer-managed cloud storage, the organisation determines which administrators and systems have access.
AI features with Google Gemini
When you voluntarily use an AI feature, we send the CV text needed for that feature and, where applicable, a vacancy text to Google through the Gemini API. Before sending, Vitaevia filters direct identifiers and contact details such as names, addresses, email addresses and phone numbers when they are supplied as recognizable CV fields. Google processes the remaining data to provide the requested AI output. Vitaevia does not store Gemini prompts or AI responses separately. If you save generated text in your CV, it is written back to the cloud storage you choose and is subject to that storage's normal retention settings.
Retention
Vitaevia does not store Gemini prompts or AI responses separately. Data in connected Google Drive or OneDrive storage remains there according to your account or organisation's settings and retention periods. When using the paid Gemini API, Google may temporarily retain prompts and responses for security, abuse prevention and legal obligations. Check Google's current terms for the applicable period. We do not keep other Vitaevia data longer than necessary for the purpose for which it was collected, unless a legal retention obligation applies.
Your rights
You can request access, correction, deletion, restriction or portability of your personal data and object to certain processing. Please contact us to do so. You can also complain to the Dutch Data Protection Authority.
Security and changes
We take appropriate technical and organisational measures to protect data. This policy may change when Vitaevia, the law or our processing activities change. The current version is published on this page.
